One damage scope for each unit
A fleet may operate several similar vans, but each repair has its own damage and equipment. The unit number and vehicle identification details connect photographs, estimates and invoices to the correct vehicle. Roof height, wheelbase and installed equipment can also matter when assessing a work van.
New damage should be distinguishable from previous damage in the record. That prevents an early inquiry about one incident from being mistaken for a request to repair every existing mark. A short description of how the vehicle is used adds useful context without replacing the physical assessment.
Who can make the decisions
The driver reporting damage, the fleet manager authorizing repairs and the person handling payment may be different people. Identifying those roles early keeps an inspection approval separate from authorization for the complete job. It also avoids routing every question through someone without authority to answer it.
Purchase-order requirements, insurer details and invoice references belong with the vehicle record. If the scope changes, the new work needs a clear decision from the appropriate contact. A shared company name alone is not enough to identify which unit, estimate version or authorization a message concerns.
Timing and return to use
Operating deadlines explain the business need, but parts, inspection findings and available capacity determine the repair arrangements. Graphics, fitted equipment, collection and any required records also affect return planning. A vehicle may need more than its exterior panels refinished before the business considers it ready for its particular role.
